Job details
Northern Nations Wellness Centre is seeking a detail-oriented and personable Medical Office Assistant to join our team and provide essential administrative and clerical support to our physicians and nurse practitioner. The successful candidate will play a key role in ensuring the smooth and efficient operation of the Wellness Centre, as well as delivering exceptional service to our patients.
*PRINCIPAL DUTIES AND RESPONSIBILITIES *
* Greet patients and visitors in a friendly and professional manner and provide assistance with check-in and registration processes.
* Schedule patient appointments, consultations, and follow-up visits, and manage the appointment calendar for the MRPs.
* Answer phone calls, respond to inquiries, and relay messages to healthcare providers as needed.
* Assist with patient intake processes, including verifying demographic information, insurance details, and medical history documentation.
* Perform administrative tasks such as preparing reports, sending referral letters, entering medical records, and case history documentation into the EMR system.
* Order and maintain an inventory of medical supplies.
* Process billing and insurance claims, collect payments, and assist patients with financial inquiries and arrangements.
* Support healthcare providers with administrative tasks such as managing medical records, processing referrals, and coordinating with external laboratories or imaging facilities.
* Set up and maintain records management systems. This includes classifying and coding electronic, and hardcopy files.
* Prepare examination rooms and ensure they are clean and stocked with necessary supplies and equipment for patient appointments.
* Assist physician with specific assessments, procedures, and patient preparation as requested by the MRP including but not limited to vital signs, weight, and height collection, etc.
* Specimen collection and handling as required.
* Maintain confidentiality of patient information and adhere to all privacy and security protocols in compliance with healthcare regulations.
*JOB SPECIFICATIONS *
*Education and Experience*
* Completion of a recognized Medical Office Assistant program or equivalent combination of education and experience.
* Strong organizational and multitasking skills, with the ability to prioritize tasks in a fast-paced and dynamic healthcare environment.
* Excellent interpersonal and communication skills, with a customer service-oriented approach to patient interaction.
* Proficiency in using electronic medical records (EMR) systems and basic knowledge of medical terminology and documentation.
* Familiarity with medical billing processes, including the submission of insurance claims and handling patient payments.
* Ability to work effectively as part of a multidisciplinary team and collaborate with healthcare providers and support staff.
* Training in anti-Indigenous racism response and cultural safety and humility is an asset.
* High degree of comfort using digital technology and online systems.
* Must be able to maintain professional conduct and client confidentiality.
*Knowledge *
* Strong knowledge of cultural safety, humility, and trauma informed approaches to care.
* Knowledge of, and ability to apply, an understanding of First Nations cultural principles and protocols in work situations.
* Understanding rural and remote communities and their inherent challenges and barriers.
*Other*
* A police information check, including the vulnerable sector clearance is a requirement of this role.
* Applicants are required to have a valid driver?s license.
* This position works 37.5 hours per week.

Pay: $18.65-$25.64 per hour
