Job details
CBM was founded in 1976 providing a combination of assurance, taxation and advisory services for clients in the Greater Toronto and Hamilton Area. CBM currently has 29 professional staff, 5 support staff and 3 partners. CBM?s team have been with the firm for a number of years allowing for an effective and efficient service. Earlier in January of this year we merged with a firm and have been seeing steady growth without any active advertising. We are located in downtown Hamilton and in Ancaster.
Our Administration represents an important part of our ability to provide service to our clients and your role will be working with a partner directly to meet internal objectives and assist clients.
*Duties*
Specifically, this position?s duties entail the following (but not limited to):
? Oversee and track both individual employee calendars and organization calendars.
? Schedule meetings, appointments, events, and conferences as needed.
? Answer phone calls, take messages and connect staff to the appropriate parties, facilitate communication between staff and clients.
? Keep track and respond to email in the organization's email inbox and any other communication platforms used by staff and clients to communicate with the company.
? Respond to any client questions or concerns. Escalate inquiries as appropriate.
? Receive any mail or packages that arrive at the office and ensure the right staff receive mail that is addressed to them.
? Greet visitors and clients as they enter the office.
? Ensure the office is stocked with supplies and resources.
? Order office supplies and materials as necessary.
? Send invoices, collect payments, handle receipts, and track any other financial transactions as necessary.
? Ensure any forms or documents are signed and securely stored in the appropriate location.
? Perform clerical tasks including mailing, faxing, scanning, photocopying, and printing.
? Screen and review incoming correspondence (mail and email), prioritize items for action and initiate responses.
? Maintain contact lists and organize correspondence by urgency and importance.
? Manage any internal/external clients requests and staff requests.
? Provide training and guidance to other administrative staff as necessary.
? Other functions and tasks as required to support the organization.
? Composition, review, and finalization of documents, correspondence, and client deliverables.
? Facilitate filing of information returns and responses to basic Canada Revenue Agency requests.
? Facilitate finalization of corporate, personal, estate and other returns and financial statements.
? Review and reporting on ongoing engagements to identify issues and bottlenecks.
? Preparation of briefings as described.

? Ensuring the data integrity of the firm?s contact and project databases.
? Generating invoices, time, and expense reports to support revenue and expense capture.
? Drafting and finalizing invoices as well as corresponding with client on accounts receivable
? Filing, scanning, and retrieval of documents and records.
? Provide support to members of the firm as necessary.
? General office and other duties as assigned, but not limited to the above.
*Qualifications*
? An Associate's Degree in Business Administration is an asset.
? Secondary School or General Education Diploma (GED) is required.
? Strong knowledge of and proficiency in office organization softwares (Office 365, Zoom, Adobe, etc.).
? Strong data entry and keyboarding skills.
