*Position Summary:*
Reporting to the Manager of the Nova Scotia branch, the Administrative Assistant provides high-quality administrative and organizational support to staff and other team members as assigned. Duties include, but are not limited to:
* Acts as general administrative support to members of the team, including filing, scanning, faxing, etc.
* Responds to client inquiries via phone, email, and website.
* Attends meetings and takes and produces minutes as required.
* Orders and maintains office supplies.
* Answers phone calls, relays messages, and refers calls with follow-up as appropriate.
* Prepares project files and maintains digital and physical filing systems.
* Prepares outgoing shipments and manages incoming shipments and couriers.
* Greets clients in the office and provides general information regarding our services.
* Performs basic data entry as required.
* Assists in scheduling and coordinating appointments and meetings.
* Supports in preparing reports and presentations as required.
* Handles sensitive information with the highest degree of integrity and confidentiality.
* Effectively prioritizes and manages multiple tasks to meet deadlines.
* Other administrative duties as assigned.
*Hours of Work:*
Monday ? Friday (8:00 am to 5:00 pm). Flexibility for occasional overtime may be required.
*Qualifications:*
* Minimum of a High School Diploma or G.E.D. required.
* Graduate from a recognized Office Administration Program preferred.
* Minimum one (1) year experience in a related administrative/secretarial role.
* Advanced working knowledge of MS Office 365 programs required.
* Keyboarding skills with a minimum of 60 wpm required.
* Proven team player with excellent communication and interpersonal skills.
* Excellent organizational skills and flexibility in meeting workload demands.
* Demonstrated ability to work respectfully with a variety of inter-professional team members.
* High degree of initiative, diligence, attention to detail, and self-discipline.
* Ability to adapt to new software and technology as required.
* Strong problem-solving skills and the ability to adapt to new challenges.
