*Job Summary*
Professional Investments is seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to our wealth management team. The ideal candidate will possess exceptional communication skills, a strong attention to detail, and the ability to manage multiple tasks efficiently.
*Responsibilities*
* Providing executive administrative support to the Lead Advisor
* Manage advisors? calendars, including scheduling meetings and appointments
Coordinate and schedule appointments with clients
Prepare correspondence, communications, presentations, and other documents
* Assist in the preparation of financial reports, presentations, and client communications
* Prepare forms and data processing
Maintain electronic and paper filing systems
Assist in the preparation of reports and presentations
Act as the point of contact between advisor and internal/external clients
* Handling confidential and sensitive information with discretion and professionalism.
* Assisting in preparing advisors for client meetings, including preparation of account opening documentation, product research, etc.
* Order processing of transactions and efficiency follow ups
* Following up relating to all client transactions to ensure proper processing and minimization of errors.
* Performing other duties as assigned
*Experience*
* Proficiency in using DocuSign for electronic document signing
* Familiarity with financial information, Book Keeping, Legal and Tax Documents
* Strong administrative skills with experience in proofreading and clerical tasks
* Excellent phone etiquette and experience with phone systems
* Proficient in Microsoft Office Suite and Google Suite applications, Excel
* Experience with financial planning software is an asset.
* Experience with industry research and reporting software such as Morningstar and Equisoft is a strong asset.
* Proven ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
* Demonstrate a high level of accountability, reliability, adaptability, and innovation in accomplishing day to day work and long-term goals.
* An ability to maintain the highest levels of confidentiality with discretion.
* An excellent attitude and commitment to providing extraordinary service.
* Exemplary interpersonal and influencing skills; an ability to communicate effectively and work collaboratively, across multiple mediums (in-person, over the phone, and virtually).
* Strong organizational skills with an excellent attention to detail.
* A high tolerance for ambiguity; highly adaptive and able to manage a large volume of competing priorities.
Job Type: Full-time
Pay: $40,000.00-$50,000.00 per year
