*Job Description*
We are seeking a *dedicated and experienced Real Estate Administrative Assistant* to join our team. The ideal candidate will provide exceptional administrative support to ensure smooth operations, superior client service, and successful transactions.
*Responsibilities*
*Administrative Tasks*:
* Maintain and organize transaction documents in the client database.
* Monitor agreements and notify clients of key deadlines.
* Ensure compliance with real estate procedures.
* Manage calendars and coordinate appointments.
* Use MLS to upload and update listings (e.g., add open house dates, mark as sold).
* Prepare reports, offers, and ensure timely completion of tasks.
* Assist with basic bookkeeping, invoice processing, and monitoring expenses.
*Marketing and Event Coordination*:
* Market the company and properties on social media, creating engaging content.
* Design marketing assets like feature sheets and organize company events.
* Prepare materials for open houses, including signage and sign-in sheets.
*Client and Vendor Liaison*:
* Deliver concierge-level customer service to clients.
* Coordinate with photographers, printers, sign companies, lawyers, and mortgage brokers to ensure smooth transactions.
*Process Improvement*:
* Review procedures and suggest improvements for efficiency.
* Assist with market research and analyze real estate statistics.
*Qualifications*
*Experience*:
* 2?5 years of administrative experience in the real estate industry (required).
* Event planning, bookkeeping, and social media management experience (preferred).
*Education*:
* High school diploma or equivalent (office management or real estate qualifications are a plus).
*Skills*:
* Proficient in Microsoft Office Suite, Google Workspace, CRM tools (e.g., Follow-up Boss), and Canva Pro.
* Strong attention to detail, organizational skills, and multitasking abilities.
* Excellent written and verbal communication skills in English.
* Familiarity with social media platforms (Instagram, TikTok, YouTube, Facebook).
* Video editing skills (preferred but not required).
*Additional Requirements*:
* Real estate license (optional but an asset).
* Valid driver?s license and ability to travel within the GTA (preferred but not required).

*Compensation and Benefits*
* Annual Salary: $42,000?$55,000, based on experience.
