*Job Summary*
We are seeking a highly organized and proactive Office Manager to oversee the daily operations of our office. The ideal candidate will possess strong administrative skills and a solid understanding of human resources practices. As the Office Manager, you will be responsible for ensuring efficient office procedures, managing team dynamics, and facilitating effective communication within the organization. This role requires a detail-oriented individual who can multitask and maintain a positive work environment.
*Responsibilities*
* Oversee daily office operations to ensure efficiency and effectiveness.
* Manage front desk activities, including greeting visitors and handling incoming calls.
* Maintain organized filing systems for both physical and digital documents.
* Coordinate human resources functions such as recruitment, onboarding, and payroll processing.
* Supervise administrative staff and provide guidance on office procedures.
* Implement and maintain office policies to enhance productivity.
* Manage office supplies inventory and place orders as needed.
* Facilitate communication between departments to ensure smooth operations.
* Assist in preparing reports and presentations for management meetings.
* Assist in budget preparation and monitoring by keeping track of project expenses, invoices, and purchase orders.
* Handle processing of vendor payments and liaise with the accounting department to ensure timely payments to contractors and suppliers.
* Maintain records of expenses and prepare reports for project managers or upper management.
*Requirements*
* Proven experience as an Office Manager or in a similar administrative role.
* Strong organizational skills with the ability to prioritize tasks effectively.
* Proficiency in office software (e.g., Microsoft Office Suite) and phone systems.
* Excellent communication skills, both verbal and written.
* Experience in human resources management is a plus.
* Ability to manage multiple tasks while maintaining attention to detail.
* Strong team management skills with a focus on fostering collaboration among staff members.
