Job details
Reporting to the Office & Accounts Manager, the Office Administrator?s function is to support the Management team in the implementation, maintenance and review of corporate processes and accounting. The duties and responsibilities listed below are representative but not all-inclusive:
Reviewing and administering equipment and vehicles
- Schedule and coordinate regular maintenance on large shop equipment
- Schedule and coordinate calibration of production equipment
- Ensure vehicle and equipment maintenance logs are complete and up-to-date
- Ensure federal, provincial and municipal requirements are considered and met for vehicles
Shop supplies, office supplies, PPE and Uniforms
- Assisting in ordering fabrication supplies including welding consumables, abrasives, small tools etc
- Maintaining inventory of office and kitchen supplies for all facilities
- Maintaining inventory of uniforms, PPE and other safety equipment.
- Review and administer employee phone/internet programs
Facilitating and organizing employee training and onboarding
- Setting up new employees in our accounting and employee management systems
- Setting up onboarding paperwork and training
- Setup and reviewing training renewals
Shipping and Receiving
- Ensure shipments for the above programs are received and complete.
- Sending returns as directed by project managers
- Scanning and filing packing slips
- Review and maintain records related to courier accounts ie. Purolator, UPS, DHL
Employee records and Human Resources:
- Maintain employee folders: health and safety, personal, and security information
- Maintain security of these documents and archive as required
- Maintain relationship with retained HR consultants
Insurance and registration:
- Review and maintain company WSIB program
- Administer the company?s Compass reporting tools and bonding documentation.
- Filing and administering WSIB and other workplace health and safety claims and forms.
- Review and maintain automotive, GL and E&O insurance policies
- Provide support to Project Management staff in organizing and providing project specific insurance and health and safety documents and registrations.
Financial bookkeeping:
- Input and review of bills, invoices, employment and tax information into our company records and financial systems.
- Ensure completeness of records, storage and archiving documentation per good industry practises.
- Provide comment and recommendations on cash flow, banking and financing
- Complete payroll, source deductions and other accounts as required by law.
- Prepare and distribute project costs on a regular basis to the Project Management staff
- Review and implement employee incentives and allowances
- Review and maintain credit applications both external and internal
- Represent Dymech in communications with clients and vendors as it relates to Accounts Payable and receivables.
Company Events, clothing and supplies
- Organize and plan company events
- Organize and plan business travel
- Manage employee clothing and swag program including maintaining inventory and clothing program costs
- Maintain break room and facility inventories ie. Coffee, kitchen and restroom supplies
Other tasks as required.
The successful candidate must:
- Hold a college diploma or university degree in book keeping or accounting
- High level of professionalism, reliability, and strong adherence to confidentiality of secured materials and information.
- Canadian citizen or permanent resident applicants only
- A valid Ontario Driver's License is must.
- Have a general understanding of good accounting practice, including understanding of chart of accounts, HST/GST, Account reconciliation
- Be detail and process oriented
- Have a good general understanding of systems such as importing, sales tax, employee record keeping etc.
- Experience in a manufacturing environment an asset.
- Canadian Security clearance of level Secret is a condition of employme
